so this question has come up a lot so pixelated to do you have a client database including budgets for personal gifts dinners and timelines that keeps track of all these interactions with your context and clients when and how you spent on personal extras like how do you maintain all of it yes that's a great question and there's a book out we talked about it before called the myth by michael gerber which is the entrepreneurial myth why most small businesses fail what michael gerber breaks down he's coached twenty five thousand small businesses in his career and he's from silicon valley a lot of startup businesses and what he says is the reason most small businesses fail is because they don't have a system they don't have a manageable simple easy to follow a b c d e f g for each client so systems management is what you need more than anything so if you have a client the client comes in and you all you have to do is put their name on a piece of paper and have the seven steps in your syste...

m and check him off you go it's two weeks out here's their wedding date and have a reminder in your calendar you know something that simple we'd love to have a completely automated system and we do use coming right now we'd rather um we're moving away from them and there will be something upcoming about this so if you subscribed to a newsletter then you'll hear about it first but again systems management is huge so all you need to do again is have a simple system so jody and I know we literally have got it in one of our closets and in that closet is all these boxes kind of are all these holes cos cubby holes that we kind of custom built a little table and we book a client and we go across the top room think think think putting together a little box and then it's four months till our wedding and we don't think think think and we send this out and then a reminder comes up three months out and we go yeah sent into starbucks or whatever so just having a simple toa follow system is going to help you manage these things because a lot sometimes we talk about this and people go that's sounds so overwhelming to do all that stuff for every client how do you do and the question was what we use yeah totally but the point is is that if you have a system right now it's really not hard at all frustrated longest him we did use excel but americans excelled can you shoot you you can use people has one you know there's all kinds of business management software but you could just set reminders you book a client and he spent ten minutes setting reminders in your calendar for four months out two months out two weeks out this is what I do and that's all you really have to do to make that so stay tuned for something awesome coming up newsletter peeps will get the first is yes um mth twelve was wondering how long you keep the plus sites up for your clients we can keep him on as long as we want it doesn't cost us anything it's just yeah so as long as they want like you can tie in google analytics to each of those and so we still get hits on post like that we put up a year ago it's not like five hundred hits but it's really good but we're still funny and it's gonna get maximizing the beginning you know first couple of weeks but just leave him up there and clients I'll go back and just relive it and share it and still talk about it and sometimes even a year later there's still be playing with question from adoption photo how would you recommend engaging in a personal way with out of town clients do you still find a way to take him out great great question I will send them when we send them a thank you for booking package oftentimes there's some tie that they have to nashville whether it's it's the central hub or they have family there and so oftentimes will say if you're gonna be in the area let us know and we travel lot too so it's like if we're coming out to your area we'd love to meet if not still hand written notes and you know that stuff still goes a long way if you can't see them in person and it's not the end of the world highly recommend doing some skype sessions like hop on and say hey love tto talk about some logistical stuff of your wedding day can you guys give us a thirteen in a skype and then if they do make sure what you need to talk about is only fifteen minutes long and spend the first fifteen minutes just on a little like double skype date you know make sure they're both there get dressed up for you make upon from here uh you know whatever you gotta do actually get out of your pajamas yeah have a nice little hangout face to face with them on skype it's a you know such great tool and then make sure you're like comment comment on their facebook wall once a month once every two weeks that's not hard to do spend one minute go on look at something they're doing and comment and those little things make them feel connected member of perception is reality if they feel connected to you they are if you have no contact with him whatsoever they're not gonna remember your name when you show up with all of your rights and yes we are friending our clients on facebook and way from the bride initially and then we're gonna talk about coming up how little we did what else we do just sort of max yes from he's a friend from any other questions yes so many questions for you guys um brianna moore is wondering do you ever find that new couples referred by old couples start expecting these things do they ever ask so like right now you have a new plus site for your new clients so what your old clients take that you know they really don't because of the way we approach it because we don't talk about it we don't say we're going to do it we just do it we do have clients though that and we've heard this from them or way no they're kind of good when we do something and they go oh I was hoping you were gonna do that because they heard about it and they want that experience in a photographer we shot it and it's hard because we've been shooting more photographers wedding so they're like and they bend like our business talk yeah like you know where's my slide show on her like you do more slots and I'm like what makes you think you're getting a slight what side show what you know the good thing about those things too is it helps to keep you sort of fresh you know and I know some things I would say every year try to change it up do something a little bit different or new or try to adjust it some way which you could you can or can't do you know it just depends on the vibe you're getting from your client for the most part no yeah for the most part people don't go well you know you're doing the plus sign what else you got for me you know they're just they're they're excited especially it comes from our girl and they were friend talked about you they're just excited in general and when you when you follow up on do that stuff they're going to be okay they're still excited about it all right maybe one more question quickly before we go to break posting whatever wedding photos on facebook before the client sees it what is the rule good question we will often give our clients heads up you know it's like hey make sure to be your facebook friend you just might see something on there so we have clients that will be on their honeymoon and they're like logging into our block and long into webster and the website being like oh what's going on so I think what they bribe cares about most is her seeing it and her getting to share it with her community if we put it on our blawg and a bunch of photographers go there and see it I don't think she really cared you know what she cares about is going mom here let me share this with you or girlfriend or sister well I heard I have access to that so just by tagging them may not have the ability to go in and use that however they want so if we put it up on facebook tag them we were wanting it to get into their network anyway and they're tight with their network not necessarily our network so and so does anybody ever say to you I want to see them before you posted to facebook not really I mean most people go I hope I get to be on the cover of your website we got clyde say that I want to be in your gallery we've had like a client or two where they're more like the entire profile clients where they're like I don't want you putting any not without me proving it first so we'll do that but average normal people they want to be they want their photos out there they want to see them they want to show them so just read your clients and if you're sensing that from them go ahead and ask you to be cool about it most clients I don't think they want to be out there
